Important — read before using this service. Stratamate is an AI-assisted informational tool only. All outputs — including risk ratings, financial summaries, cost estimates, red flags, defect assessments, levy predictions, and recommendations — are not legal advice, financial product advice, strata inspection advice, or a substitute for independent professional assessment. Before making any property purchase decision, consult a licensed conveyancer or solicitor, a licensed strata inspector or building and pest inspector, a licensed strata manager or body corporate lawyer, and an independent financial adviser.

1. Agreement to terms

By accessing or using Stratamate at stratamate.com.au (the "Service"), you agree to be bound by these Terms of Service ("Terms") and our Privacy Policy. If you do not agree to these Terms in full, you must not use the Service.

If you are using the Service on behalf of a business or organisation, you represent that you have authority to bind that entity to these Terms, and that "you" and "your" refers to that entity.

2. Description of service

Stratamate provides AI-assisted analysis of uploaded strata-related documents including strata reports, AGM minutes, financial statements, levy schedules, building inspection reports, planning certificates, and similar documents. The Service extracts data and generates summaries, risk ratings, fund assessments, red flags, and commentary ("Report Outputs").

The Service is available to three user types:

  • Buyers — individuals purchasing a one-off strata analysis report
  • Agents — real estate agents subscribing for ongoing access to generate reports for listings
  • Owners / Managers — strata scheme owners and strata managers accessing scheme management features

3. Not professional advice — important disclaimer

The Service and all Report Outputs are provided for general informational purposes only. They do not constitute and must not be relied upon as:

  • Legal advice of any kind
  • Financial product advice or a financial services guide as defined under the Corporations Act 2001 (Cth)
  • A strata inspection or building inspection report
  • A valuation, property assessment, or appraisal
  • Accounting, tax, or financial planning advice
  • Advice from a licensed strata manager

AI analysis systems can produce errors, omissions, misinterpretations, and hallucinations. Report Outputs may be inaccurate, incomplete, or out of date. Do not make or refrain from making any property purchase decision, investment decision, or legal decision based solely on any Report Output.

We strongly recommend that you obtain independent professional advice from qualified lawyers, inspectors, and advisers before making any decision in reliance on information derived from this Service.

4. Eligibility and account registration

You must be 18 years or older and have the legal capacity to enter into contracts in Australia to use the Service. By using the Service, you represent and warrant that you meet these requirements.

If you create an account, you agree to:

  • Provide accurate and complete information
  • Keep your login credentials secure and confidential
  • Notify us immediately at hello@stratamate.com.au if you suspect any unauthorised access to your account
  • Accept responsibility for all activity that occurs under your account

5. Plans, pricing, and payments

All prices are in Australian dollars (AUD) and include GST where applicable. Prices are subject to change with 30 days' notice.

Billing

For pay-as-you-go buyer reviews, payment is charged at purchase via Stripe. For subscription plans (including buyer monthly reviews), payment is charged monthly in advance on your billing cycle start date. You authorise us to charge your nominated payment method for all applicable fees.

If a payment fails, we will notify you and attempt to collect payment. Access may be suspended until outstanding amounts are settled.

Subscription renewals and cancellation

Subscriptions renew automatically each month until cancelled. You may cancel at any time via your account billing settings (Stripe Customer Portal). Cancellation takes effect at the end of the current paid billing period — you retain access until that date. We do not offer pro-rata refunds for partial billing periods.

Buyer monthly reviews and Agent Monthly: unused report allocations within a billing period do not roll over to the next month.

6. Refund and credit policy

Buyer single review ($20 one-off)

A report credit is consumed when the Service successfully returns a completed analysis in response to your uploaded document. We do not offer refunds for completed analyses.

If the Service fails to return a completed analysis due to a technical error on our side (e.g. server error, OpenAI API outage), we will credit your account with a replacement report. Contact us at hello@stratamate.com.au within 14 days of the failed attempt with your Stripe checkout session ID.

If you upload a document that is not a strata-related document (resulting in a validation error), your credit is not consumed and you may retry with a valid document.

Buyer monthly reviews, Agent Monthly, Owner Monthly, Manager Monthly

Monthly subscription fees are non-refundable except as required by the Australian Consumer Law. If you cancel, you will retain access until the end of the paid period; no partial refund is issued for unused days.

If a subscription payment has been charged in error (e.g. a duplicate charge), contact us within 30 days and we will investigate and refund if appropriate.

Service failures

If we experience a material service outage lasting more than 24 consecutive hours, subscription customers may contact us to request a pro-rata credit for the downtime period. Credits are applied to your next billing period and are not paid as cash.

Your rights under the Australian Consumer Law are not excluded by this refund policy. If the Service has a major failure or is not of acceptable quality, you may be entitled to a remedy under the ACL — see Section 13.

7. Acceptable use

You agree to use the Service only for lawful purposes and in accordance with these Terms. You must not:

  • Upload documents you do not have the legal right to share or process
  • Attempt to reverse-engineer, decompile, scrape, or probe the Service, API, or underlying AI models
  • Use automated tools (bots, scripts, crawlers) to access the Service without our written permission
  • Circumvent, disable, or interfere with rate limiting, authentication, or other security features
  • Resell, sublicense, or redistribute access to the Service or Report Outputs without our written permission
  • Represent Report Outputs as constituting professional legal, financial, or inspection advice when providing them to third parties
  • Upload malicious files, executables, or files designed to exploit our systems
  • Use the Service in any way that may harm other users, third parties, or us
  • Violate any applicable Australian or international law or regulation

We may suspend or terminate your access immediately if we reasonably believe you have breached these acceptable use requirements.

8. Documents you upload

You retain full ownership of all documents you upload to the Service. By uploading a document, you grant us a limited, non-exclusive, royalty-free licence to process the document for the sole purpose of generating your Report Output.

You represent and warrant that:

  • You have the legal right to upload and process the document
  • The upload does not infringe the intellectual property rights of any third party
  • The upload does not contain malicious code

We do not use your uploaded documents to train AI models. Documents are processed in memory and are not permanently stored on our servers after processing. See our Privacy Policy for full details.

9. Intellectual property

The Service, including its software, AI prompts, algorithms, branding, design, and all content created by us, is owned by Stratamate and is protected by Australian and international intellectual property laws. Nothing in these Terms grants you any ownership in or licence to the Service itself.

The Report Outputs generated from your uploaded documents are yours. You may use them for personal, commercial, or professional purposes subject to Section 3 (they are informational only and must not be presented as professional advice).

10. Accuracy and AI limitations

We do not warrant that Report Outputs are accurate, complete, current, or free from errors. AI language models are probabilistic systems that can produce incorrect or misleading results even from well-structured inputs. Known limitations include:

  • Inability to interpret handwritten, scanned, or low-quality PDF text accurately
  • Potential misreading of financial figures, dates, or property identifiers
  • Risk of extrapolating or "hallucinating" information not present in the source document
  • Inability to account for information outside the uploaded document (e.g. subsequent legal proceedings, unreported defects, post-document events)

We implement anti-hallucination measures including verbatim evidence requirements and deterministic cross-validation, but these measures reduce rather than eliminate the risk of errors.

You should independently verify any critical figures (fund balances, levy amounts, special levy history) against the source document before relying on them.

11. Limitation of liability

To the maximum extent permitted by law (including the Australian Consumer Law), we exclude all liability for:

  • Any property purchase decision, investment decision, or legal decision made in reliance on Report Outputs
  • Inaccurate, incomplete, or misleading Report Outputs
  • Loss of profits, revenue, savings, goodwill, or business opportunity
  • Loss or corruption of data
  • Any indirect, incidental, special, exemplary, punitive, or consequential loss
  • Loss arising from third-party service failures (OpenAI, Stripe, Supabase, Railway)

Where liability cannot be excluded under Australian Consumer Law or other legislation, our liability is limited (at our option) to:

  • Resupplying the Service, or
  • Refunding the amount you paid for the relevant Service in the 30 days preceding your claim

In no event shall our total aggregate liability to you for all claims arising from your use of the Service exceed the greater of (a) AUD $100 or (b) the total amount you paid us in the 3 months preceding the event giving rise to liability.

12. Indemnification

You agree to indemnify, defend, and hold harmless Stratamate and its officers, employees, contractors, and agents from and against any claims, damages, losses, liabilities, costs, and expenses (including reasonable legal fees) arising from:

  • Your breach of these Terms
  • Your violation of any law or the rights of any third party
  • Documents you upload that infringe third-party rights or contain confidential information you were not authorised to share
  • Your reliance on Report Outputs in a way that causes harm to any third party

13. Australian Consumer Law

Nothing in these Terms is intended to exclude, restrict, or modify any right or remedy, or any guarantee, warranty, or other term or condition, implied or imposed by the Australian Consumer Law (Schedule 2, Competition and Consumer Act 2010 (Cth)) that cannot be excluded, restricted, or modified by agreement.

Our services come with guarantees that cannot be excluded under the Australian Consumer Law. For major failures with the Service, you are entitled to:

  • Cancel your subscription and receive a refund for unused portions, or
  • Compensation for any other reasonably foreseeable loss or damage

For failures that do not amount to a major failure, you are entitled to have the failure rectified in a reasonable time, and if this is not done, to cancel and receive a refund.

14. Service availability and modifications

We aim to maintain high availability but do not guarantee that the Service will be uninterrupted, error-free, or available at all times. Scheduled maintenance, emergency outages, third-party failures (e.g. OpenAI API, Stripe), or circumstances beyond our control may affect availability.

We may modify, suspend, or discontinue any aspect of the Service at any time. Where practical, we will provide reasonable advance notice of material changes. If we discontinue a subscription plan, we will provide at least 30 days' notice and a pro-rata refund for the unused portion of any prepaid period.

15. Third-party services

The Service integrates with third-party services including OpenAI (AI processing), Stripe (payments), and Supabase (authentication and database). Your use of the Service is subject to those providers' terms in addition to ours. We are not responsible for the availability, accuracy, or conduct of third-party services. Links to third-party websites are provided for convenience only — we do not endorse or control those sites.

16. Privacy

Our collection and use of your personal information is governed by our Privacy Policy, which is incorporated into these Terms by reference. By using the Service, you consent to our collection and use of personal information as described in the Privacy Policy.

17. Termination

By you: You may stop using the Service and cancel any subscription at any time via your account settings or by contacting us.

By us: We may suspend or terminate your access to the Service immediately and without notice if we reasonably determine that you have:

  • Breached any provision of these Terms
  • Engaged in fraudulent, abusive, or illegal activity
  • Provided false information during registration
  • Failed to pay amounts due

On termination, your right to use the Service ceases. Sections 3, 8, 9, 11, 12, 18, and 19 survive termination.

18. Dispute resolution

We encourage you to contact us in the first instance at hello@stratamate.com.au to resolve any dispute informally. We will respond within 10 business days.

If a dispute cannot be resolved informally within 30 days of notification, either party may refer the dispute to mediation administered by the Australian Centre for International Commercial Arbitration (ACICA) or another agreed mediator. The costs of mediation shall be shared equally unless the mediator orders otherwise.

Nothing in this clause prevents either party from seeking urgent injunctive or other equitable relief from a court.

19. Governing law

These Terms are governed by and construed in accordance with the laws of New South Wales, Australia. You submit to the non-exclusive jurisdiction of the courts of New South Wales and any courts competent to hear appeals from those courts.

20. Changes to these terms

We may update these Terms from time to time. Updated Terms will be posted on this page with a revised "Last updated" date. For material changes, we will notify account holders by email at least 14 days before the changes take effect. Your continued use of the Service after the effective date of updated Terms constitutes your acceptance of them. If you do not accept updated Terms, you must stop using the Service and cancel any subscription.
